If you are hosting the conference in coordination with or under a non-profit umbrella, you should see a discount of up to 50% on all venue rentals and pay NO SALES TAX on anything. This requires due diligience on your part and you must be aggressive when asking for quotes. If they don't have a discount, push harder and send it up the chain. This can be the difference of being in the red or actually breaking even or better.

Foe example, renting out the SFSU venue in downtown San Francisco under a non-profit saved us over $20K. It was a pain in the ass, but if the budget is tight you can make it happen.
